Below is a list of the major projects being worked on by KU Information Technology. Projects have been selected because they are either of interest to the campus or will have a significant impact on the university community. This list represents only a portion of the 190 total active projects.

Enterprise Application Resources Planning (EARP) Projects

The following projects are sponsored by the EARP Board, and have been assigned a high priority for completion.

BA APEX (aka HCM PeopleSoft Upgrade) Project Phase 1

The HR/Pay System (HRSA) is a complete management information framework. The foundation for this framework is the system that captures all of the personnel, benefits, payroll, job, position, funding, time and leave data and related transactions. PeopleSoft 9.1 has been selected as the application version. This project was established to upgrade from PeopleSoft HR/Pay 7.6 system to version 9.1 which is a web based environment.

Latest Status: Implementation. As of May 3, 2012 Some final items for SIT2 have not been completed so the task is closing late, but Parallel Testing has started.

Implement Travel & Expense Module in PeopleSoft Financials

This project will automate the approval of travel plans and expedite the exchange of receipts at the time of payment.

Latest Status: Implementation. As of April 27, 2011, this project is underway.

BA Appointment Scheduling

This project will utilize Starfish Solutions CONNECT product to allow students to schedule advising and tutoring appointments online. The information gathered in the scheduling process will be incorporated into the Starfish Solutions EARLY ALERT system.

Latest Status: Implementation. As of April 27, 2012, this project has procured the software license from the vendor. The project team has decided that a subset of University Advising Center (UAC) will launch the software in the fall and students in the Early Warning pilot courses will be able to schedule online appointments with those UAC pilot advisors. Two other units are interested in utilizing the online calendar during the pilot with no visibility to students. The projected pilot date is August 2012.

BA CMS (Content Management System) - Phase 2

Latest Status: Implementation. As of May 11, 2012, the project team has met with all 13 early adopters. Site administrator training is complete and site administrators have been granted access to their CMS development sites on the production server. The target date for early adopters to go live in the new CMS is August 2012.

BA Imaging - Enterprise Wide - Phase 1

This project will establish a standard, centrally managed and integrated solution to capture and process documents and information that can be used by all areas of the university.

Latest Status: Implementation. As of May 3, 2012, Two subprojects continue in the design phase: HR Position Management Workflow and Admissions Evaluation Workflow. Implementation efforts continue for the Travel and Expense Processing subproject and the Financial Aid Awarding subproject.

KU Calendar of Events 2.0

This project will update www.calendar.ku.edu to handle both new requests and modern security needs.

Latest Status: Planning. As of November 16, 2011, work on this project has been stopped as all resources are working on the CMS project scheduled for implementation in March 2012.

CFE Single Identity Managment System (SIMS) Phase 1

This project synchronizes identities between KU Lawrence and KU Medical Center, including Wichita, to a common user ID format to solve many identity management problems between campuses.

Latest Status: Research/Analysis. As of April 23, 2012, the project team is working on finding duplicate Online IDs between the two campuses. The team has agreed to ID formats and are seeking Executive approval. The team is finalizing the requirements and use cases for Active Directory (AD). An AD expert consultant will be hired to review these requirements and recommend the optimal AD architecture that satisfies all requirements.

AEC Student Record Database Replacement Project

This project will implement replacement functionality for the existing legacy system used by the Applied English Center (AEC) for their student records database.

Latest Status: Research/Analysis. As of April 27, 2012, Huron conducted an analysis of AEC business processes to determine what needs to be implemented to replace the current AEC system.

BA CMS (Content Management System) - Phase 3

The CMS project was established to implement a Web content management system (CMS) to facilitate the creation of websites that increase communication and collaboration between the institution, potential and current students, potential and current faculty and staff, potential and current patients, alumni, parents, the media and the general public. Phase 3 of this project includes developing requirements not identified as Phase 1 of the project.

Latest Status: Approved. As of April 27, 2011, work will begin at the completion of Phase 2.

Move ISSS iOffice software to Enterprise Service Status

This project for International Student & Scholar Services (ISSS) will implement expanded functionality of a currently-owned vendor product and brand it for KU.

Latest Status: Research/Analysis. As of April 24, 2012, a conference call was held on 4/3/12 with Sunapsis staff, KU IT staff and ISSS staff to discuss upgrading the existing system to the new release and implementing new functionality that would meet the functional requirements of ISSS. Sunapsis staff agreed to send us a technical architecture diagram that will show how the system should be designed.

Research/Analysis

PtD Tools for Data Collection

The Office of Graduate Studies submitted an EARP proposal in January of 2009 to build a data collection tool. This proposal was approved and over the next two years, Information Technology worked with Graduate Studies, Student Information Systems (SIS) and the Registrar's Office to build the Graduate Progress to Degree system (PtD). Housed in the KYou portal, this online workflow tool allows administrators at the department-level to communicate with school administrators, Graduate Studies, the Registrars Office and the International Student and Scholar Services office regarding the completion of important milestones of KUs graduate students

Latest Status: Approved. As of 04/27/12, this project has been approved but work has not started.

Satisfactory Academic Progress (SAP) Phase II

Satisfactory Academic Progress is a federal requirement used to evaluate the academic worthiness of each student receiving financial assistance, and is highly interpretable. Historically SAP programming has consumed many hours with both automated and manual processing to meet the office's interpretation of what satisfies Federal SAP requirements. SIS has been working to reduce that workload for all parties since 2009 when the upgrade to version 9.0 began. Some of the SAP issues were resolved by new software enhancements and new solutions. SIS worked to find a way to use delivered functionality along with modest changes to the App Engine Library to resolve office stated requirements not calculating correctly within the delivered software. KUMC is satisfied with several modifications to the Library as well as four customizations currently being worked by IT that KU Lawrence feels are necessary to meet Federal Requirements in a reasonably automated fashion.

IT Construction Projects

The following projects represent IT involvement in campus facilities and core infrastructure improvement and growth.

Wireless in Common Areas (Student Funded)

This project will deploy wireless connectivity in campus-wide common areas as prioritized by Student Senate: Dole Institute of Politics, Kansas Union, Anschutz Library, Spahr Engineering Library, Spencer Research Library, Spencer Museum of Art Library, Watson Library, Burge Union, Strong Hall, Dole Human Development Center, Smith Hall, Templin Visitor Center, and Edwards Campus buildings.

Latest Status: Implementation. As of February 7, 2012, installation in Regnier Hall is now complete. Only two buildings remain: Jayhawk Central and Regents Center. Design for Regents Center is currently underway.

Unified Communications

This project will be delivered in phases. Phase 1 will include a rollout of VoIP on the Edwards Campus with head-end gear located on the Lawrence Campus. Scope for future phases will be finalized at a later date.

Latest Status: Research/Analysis. As of October 1, 2011, CDW is onsite staging systems and planning details for deployment of VoIP on the Edwards campus. The vendor will remain engaged until VoIP is deployed on the Edwards campus. Details of their planned schedule for onsite time are not yet available.

BA Campus Wireless Expansion 2011

This project will implement wireless expansion in the following Lawrence Campus buildings: Art & Design Building, Bailey Hall, Blake Hall, Budig Hall/Hoch Auditoria, Dole Human Development Center, Eaton Hall, Fraser Hall, Green Hall, Haworth Hall, Joseph R. Pearson Hall, Learned Hall, Lindley Hall, Malott Hall, Murphy Hall, Snow Hall and Summerfield Hall. This project will also expand wireless in various outdoor areas including Potter Lake, Wifi on the Bus, Jayhawk Blvd and popular sidewalks. The project will implemented required backend equipment upgrades to support the expanded wireless.

Latest Status: Planning. As of February 7, 2012, the design contract for the wireless mesh is complete and design is ready to move forward with the site survey. Four buildings are ready to contract preproject upgrades to wireless service: JRP, Green, Fraser, and Dole HDC.

The following projects have been completed in the last 3 months.

CFE Identity Management Infrastructure Overhaul

The objective of this project is to move to a modern product-based solution to improve security and maintainability while retaining the ability to handle custom situations that arise at KU.

Latest Status: Complete. As of December 30, 2011, we are continuing to update and build out our new Identity Management (IdM) suite. We are running the new IdM system in parallel with the old IdM system to facilitate a systematic conversion of services to the new IdM system. We are working to decommission the old IdM system by March 2012 by moving applications to the new system. The current IdM project in development is Groups, which will replace the current process that is managed by the old IdM system. The new Groups system will provide enhanced group management functionality and allow campus departments to maintain their own groups. Additionally, we are beginning to gather requirements for the new Sponsor Temporary Account process.

BA Online Advising Reporting and Batch Features (replacing remainder of ARTS functionality)

This project will provide additional functionality beyond the initial release of Online Advising Degree Progress Reports.

Latest Status: Warranty. As of April 24, 2012, most of the development work has been completed. On 4/13/12, students were given access to run their own Degree Progress Reports via the Portal. The only thing left to complete is enhancing the batch process to allow multiple concurrent batches to run at the same time. The Appointment Form Reporting requirements have been met by giving DEMIS access to the Portal data.

Phase 1 of this project includes development of the CMS and ensuring that they new system is ready for early adopters.

Latest Status: Warranty. This project launched on March 23, 2012.
